Messages
One inbox for every site: replies to your flow emails and texts, what was sent and how it did, each person's stage, and writing back.
Messages in the sidebar is one inbox for all your sites. It holds what your automations send and the replies that come back. It comes with Automations, on Solo, Studio and Agency.
Inbox
The Inbox tab lists each conversation, newest first: the site, the person, their stage, the last message and when it came. A number shows how many messages you have not read. The same number shows next to Messages in the sidebar.
It holds:
- Text replies. Anything someone texts back to your Twilio number (when Twilio is set up). STOP shows as an opt-out, START as opting back in, HELP as a request for help.
- Email replies. Every flow email has its own reply address. A reply lands here, with the old quoted email and the signature cut off.
- Out-of-office replies. Kept, marked Auto-reply, never counted as unread or as someone engaging.
- Requests to stop. A reply that says "unsubscribe" or "remove me" is marked Asks to unsubscribe. Press Unsubscribe them to stop all email to them from that site, or Not an opt-out to keep it as a normal reply. Words alone never unsubscribe anyone, since "do not stop sending me deals" is not a request to stop.
A copy of each email reply also goes to the site's Replies go to address (your account email when empty), so nothing waits in Sporetag alone. Turn the copy off in the site's Automations settings.
Filter by site and stage, or search by name, email or phone number.
Sent
The Sent tab lists the last 30 days of emails and texts, from flows, campaigns and your own replies. Each shows its status:
| Status | Means |
|---|---|
| Sent | It left. For email, nothing more is known yet |
| Delivered | Twilio says the text reached the phone |
| Opened | The email's images loaded. Some mail apps load them on their own, so opens run high |
| Clicked | They clicked a link in the email |
| Replied | They wrote back |
| Failed | It did not send, or the carrier refused the text. The reason shows under it |
Email bounces are (when shipped): Cloudflare's email service does not report them yet.
A conversation
Press a conversation to see everything about that person in one stream, oldest at the top: emails and texts both ways, and their visits, pages, goals, forms, orders, CRM deal stages and the flows they entered. All, Messages and Activity filter it. The same stream is on their profile page.
At the bottom, write to them:
- Text works when Twilio is set up, they agreed to texts, they have not replied STOP, and it is not 9 pm to 8 am their time. The first text you send them ends with "Reply STOP to opt out."
- Email goes from your site's sender, with your footer, postal address and unsubscribe link. It needs your postal address in Automations settings, and they must not have unsubscribed.
When a channel cannot be used, it is greyed out and says why. Once the site's flows and replies reach its daily email or text limit, replies on that channel are off until the next day (UTC).
Stages
Each profile has one stage, worked out from what Sporetag already knows. It shows on the profile, in the Profiles list and in Messages. The first that fits wins:
| Stage | Means |
|---|---|
| Visitor | Anonymous. Only their device is known |
| Unsubscribed | Opted out of email or texts, with no way left to reach them |
| At risk | A customer with no visit, open, click or reply in 60 days |
| Repeat | Bought 2 or more times |
| Customer | Bought once, or won as a deal in your CRM |
| Engaged | Opened, clicked or replied in the last 14 days, or came back to your site in the last 14 days |
| Lead | Gave an email or phone. Nothing more yet |
Opens count toward Engaged even though some mail apps open mail on their own. Out-of-office replies never count.
Use stages to act:
- In Profiles, press a stage to see only those people, with counts for each.
- Send a message emails everyone in that stage once (a campaign, up to 1,000 people). People who unsubscribed or have no email are left out, and each send is checked again when it goes. Sending starts within 15 minutes and keeps to your daily email limit.
- Add to automation starts a live flow for them (up to 150 at a time). The flow's own rules apply: someone already in it is not added twice.
- In a flow, start it when someone enters a stage, or check Is in a stage in an If / else step.
- In a segment, pick a stage as one of its rules.
